How does one track your projects

There are four variables to professional task management: expenditure, timing, duration and producing a satisfactory result. A more challenging objective is to optimize work procedures and resource allocation. The majority of projects employ such elements as labour, money, and tools to achieve something of value and hit selected targets. To work with projects effectively one need to handle several factors. You can see a few of these factors below:

- Task setting and assessing progress.

- Managing uncertainty. Any project involves a number of risks that should be dealt with.

- Assigning and managing resources.

- Defining the outcomes of the project.

- Overseeing the project from the point of view of who is performing what and when.

- Managing quality.

- Handling instability. Change happens. The majority of tasks occur in time, so the factor of change has to be accounted for.

- Communicating with sponsors and participants of the project.

Conventional ways of running projects, such a pencil and paper, can be used to do most of these things. Nevertheless, specialized project tracking software offers a lot of important advantages:

- Idividual jobs are smoothly assigned to time blocks. The length of work can be calculated automatically using the workload information. Every resource can possess their own time-table. Tracking progress also becomes less of a problem.

- Managing several projects with different requirements. Management can use project management software to simplify portfolio of projects analysis.

- Critical path becomes clearly visible. The critical path is a critically relevant concept in project management. If an activity on the critical path lasts longer than the manager planned, the whole timing of the project will be altered. It should be noted that for tasks that are outside the critical path minor changes in how long it takes can have no influence whatsoever on the project.

- Allowing everybody involved know what is happening. The more intricate are the project requirements, the more of them have to be talked about. Groupware productivity tracking software allows each participant to be on the same page at any given point in time.

Is it always a must to use task tracking software?

Project management solutions could not be appropriate in 100 percent of all cases. It produces the greatest result when used for several large projects. It might be more appropriate to operate smaller projects manually, so that there is no need to incur large overhead associated with employing complicated programs.
